How It Works

Upload your footage, download the archive

01

Getting Started

Got footage from a meet? Here's how to share it with the crew.

Head to the Upload page — click the Upload button on the home page, or go directly to /upload
You'll need an upload passphrase from the event organizer — this is a code that controls who can upload
If you've uploaded before, your recent passphrases show up as clickable shortcuts below the field so you can just tap to fill it in
02

Uploading Your Content

Fill out the upload form and drop your file.

Enter the upload passphrase (not case-sensitive)
Give your clip a title (e.g. "Blue GTR Launch") — this is required
Add the meet name if you know it (e.g. "Cars & Coffee Houston")
Enter your Instagram handle so people can credit you
Tag the event organizer — start typing their IG handle and pick from the dropdown (required)
Optionally tag who's featured in the clip — car owners, people, etc.
Drop or select your file — videos and photos both work
Supported formats: MP4, MOV, WebM, AVI, JPG, PNG, WebP — large files are fine
03

During & After Upload

Once you hit Upload, you'll see live stats while your file transfers.

The progress panel shows upload speed, percentage, and estimated time remaining
Below that you'll see how much data has been sent (e.g. "24.3 MB / 156.8 MB")
Once the upload finishes, the file enters a processing queue — videos get re-encoded for optimal size, photos get optimized
If the passphrase is linked to an event, your file auto-publishes — no waiting for manual approval
If not, the event organizer will review and publish it when ready
04

Downloading from an Event Page

Someone shared an event link with you? Here's how to get the files.

Open the event link — you'll see a grid of all the videos and photos from that event
If the event is private, you'll need to enter an access code first — the organizer will give you this along with the link
Once unlocked, you won't need to re-enter the code for 24 hours
Click any thumbnail to select it (you'll see a highlighted border)
Use the "Select All" checkbox at the top to grab everything
Click "Download Selected" to get a zip of just the files you picked
Click "Download All" to zip the entire event
Each card also has its own ⬇ button for individual downloads
05

Direct Download Links

Organizers can share links to individual files outside of an event page.

These links look like mycrewarchive.com/d/xK7mQp
You'll see a preview page with the thumbnail, title, file size, and a big download button
Click Download and the file saves straight to your device
06

Processing & Status

After uploading, your files go through an encoding pipeline.

Check the Status page (linked from the upload page header) to see the queue in real time
The status page shows how many files are encoding, queued, and complete
You'll also see compression stats — how much space was saved across all processed files
If render workers are set up, you can see which ones are online, idle, or actively encoding
The page auto-refreshes — faster when there's active processing, slower when idle

Tips & Troubleshooting

Large files are fine — the platform handles files well over 100MB. The progress bar shows real-time speed so you know it's working
Always add your IG handle — this is how people credit and find you
Tag people in the clip — car owners, riders, whoever's featured. It helps everyone find their content later
Passphrase not working? — double-check with the event organizer. It might be deactivated or you might have a typo
Upload failed? — check your internet connection and try again. The form preserves your fields so you won't lose anything
Want an organizer account? — click "Sign In" then "Request Account" to apply. An admin will review and approve your request
